Getting started

What is Tenzap?

Tenzap keeps everything about a tenancy in one shared place: certificates, repairs, rent, documents, inventories and messages. Landlords and tenants each have their own view of the same records.

Who is Tenzap for?

Landlords who look after their own homes, and the tenants who live in them. It isn't built for letting agents.

Does Tenzap work in Scotland, Wales and Northern Ireland?

Yes. Each property is set to its nation, and the certificates, deadlines and notes in the app follow that nation's rules.

How do I sign up?

Download the app and sign up with Apple, Google or your email. You'll choose whether you're a landlord or a tenant.

TenantsI'm a tenant. How do I join my landlord's property?

Ask your landlord for the 8-character invite code from their app. Enter it when you sign up. You'll then see the property's certificates, repairs, documents, rent and messages.

TenantsMy invite code doesn't work.

Check you've typed all 8 characters. Codes only use 0-9 and A-F, so an "O" is always a zero. If it still fails, ask your landlord to check the code in their app.

LandlordsWhat's the checklist on my Home screen?

A short list of first steps for each property: tenancy details, certificates and inviting your tenant (plus landlord registration in Wales, Scotland and Northern Ireland). Steps tick off by themselves. You can hide it at any time.

Can I use Tenzap as both a landlord and a tenant?

Each account is either a landlord or a tenant. For now, if you're both, you'll need two accounts with different email addresses.

Properties & tenants

LandlordsHow do I add a property?

Go to Properties and add the address. Tenzap suggests the nation from the postcode, and you confirm it.

LandlordsHow many properties can I add?

As many as you own. One price covers them all.

LandlordsHow do I invite my tenant?

Open the property on Home and share its invite code. Each tenant enters it when they sign up. You can invite more than one tenant.

LandlordsWhere do I add the rent, deposit and dates?

In Tenancy details. Type in the dates, rent and deposit from your tenancy agreement. Your tenant sees the same details.

TenantsThe tenancy details look wrong. What can I do?

Open Tenancy details and flag the part that looks wrong. Your landlord sees the flag and can correct it.

LandlordsHow do I end a tenancy or remove a tenant?

Open the property and use End tenancy, or remove one tenant. Records stay in your account. This doesn't serve notice. Notice has legal rules of its own in each nation.

TenantsI've moved out. What should I do?

Go to Account > Your tenancy > Leave this tenancy. Your account stays, and your landlord keeps the shared records. You can download a copy of your data first.

Compliance

What does Compliance show?

The certificates and checks that apply to the property's nation, such as Gas Safety, electrical (EICR) and EPC, plus deposit protection. Each shows whether it's in date and when it's next due.

LandlordsHow do I add a certificate?

Open Compliance, tap + Scan, then take a photo or upload the PDF. AI works out which certificate it is and reads the expiry date. You check both before it's saved.

LandlordsWhat if a certificate doesn't apply to my property?

Mark it as "Not applicable" and choose the reason, such as no gas supply. Your tenant can see that it was marked and why.

LandlordsWill I get reminders?

Yes, well before a certificate runs out. You can choose which reminders you get in Account > Notifications.

TenantsCan I see my home's certificates?

Yes. Compliance shows each one, whether it's in date, and the document itself once your landlord has added it.

Does Tenzap tell me what the law requires?

The app has short notes on each nation's rules, as general guidance only. It isn't legal advice. For your situation, check GOV.UK, your nation's government site, or a qualified adviser.

LandlordsWhere do I add my landlord registration?

In Compliance, under "You as landlord". Wales, Scotland and Northern Ireland have registers now. England's register is being introduced, and the app will follow when dates are confirmed.

Repairs

TenantsHow do I report a repair?

Go to Repairs, add what's wrong, where it is, how urgent it is, and a photo if you can. Your landlord is notified straight away.

TenantsWhat if it's an emergency?

If there's danger, like a gas smell, fire or flooding, call the emergency services or your gas or water supplier first. Then report it in Tenzap. Tenzap isn't an emergency service.

How do we agree a visit?

In the repair, the landlord offers up to 3 time windows and who's coming. The tenant picks one, or says none work. The agreed visit shows on both sides and can go in your calendar.

LandlordsHow do I update or close a repair?

Open the repair and change its status as work moves along. Your tenant sees each update.

Rent

Does Tenzap take or hold rent?

No. Tenzap is a shared record of what's due and what's been paid. Rent is paid however you've agreed, outside the app.

LandlordsHow do I record a payment?

Open Rent and tap + Record. When your tenant says they've paid, confirm it, or query it if it hasn't arrived.

TenantsI've paid my rent. How do I let my landlord know?

Open Rent and tap "I've paid". Your landlord confirms it, and it moves into your payment history.

Why does it say "Late" or "Part-paid"?

Tenzap works it out from the rent amount, how often it's due and the payments confirmed so far. If it looks wrong, check the rent in Tenancy details, or message each other.

LandlordsCan I export rent for my tax return?

Yes. Properties > Rent received by tax year gives totals from 6 April to 5 April, and a spreadsheet to share. Check figures with your accountant or HMRC guidance.

Does Tenzap give rent receipts?

No. Your payment history is in Rent. In Scotland and Northern Ireland, landlords must give a written receipt for cash rent, and the app has a short note on this.

Inventory

What's an inventory in Tenzap?

A check-in and check-out report on the home's condition, with rooms, photos, meter readings and keys. It's found on Home.

LandlordsHow do I make a check-in report?

Walk through room by room in the app, or upload a report from a professional inventory clerk. Then send it to your tenant to review.

TenantsMy landlord sent me a check-in report. What do I do?

Read each room. Add comments or photos where you disagree, then confirm it. Your comments stay with the report and can't be changed by anyone else.

TenantsWhat happens if I don't confirm it?

It shows as "not confirmed". Tenzap never confirms it for you.

Can the report be changed after it's sent?

Only by the landlord, and then both confirmations are cleared so it has to be agreed again. The change is logged.

How does check-out work?

The check-out report copies the check-in rooms and items, so you can compare them side by side.

Documents & messages

What can I keep in Documents?

The tenancy agreement, inventory reports, certificates and any other files about the tenancy. Both of you can see them.

Can a document be deleted?

You can delete documents you uploaded yourself. Documents someone else added stay, so nothing shared disappears without them knowing. Confirmed inventory reports are locked and can't be deleted by anyone.

How do messages work?

Messages are between landlord and tenants on one tenancy, so everything stays with the home it's about.

Why didn't I get a notification?

Check notifications are on for Tenzap in your phone's Settings, and in Account > Notifications.

Billing

LandlordsHow much does Tenzap cost?

A 7-day free trial, then one simple monthly price, however many properties you own. The price will be confirmed at launch. Tenants never pay.

TenantsDo tenants pay anything?

No. Tenzap is free for tenants.

LandlordsHow do I cancel?

Subscriptions are handled by the App Store. Cancel in your iPhone's Settings > your name > Subscriptions, or from Account > Billing. You keep access until the end of the paid period.

LandlordsCan I get a refund?

Refunds are handled by Apple. Request one at reportaproblem.apple.com.

LandlordsWhat happens if my subscription ends?

You can still see and download your records, but you can't add or change things until you subscribe again.

LandlordsI've got a new phone and Tenzap says I'm not subscribed.

Go to Account > Billing > Restore purchases, signed in with the same Apple ID.

Account

How do I change my name, photo or phone number?

Account > Personal details.

How do I change my password?

Account > Login & security.

I've forgotten my password.

Can I lock the app with Face ID?

Yes. Turn it on in Account > Login & security.

I've lost my phone.

Sign in on another device and go to Account > Login & security > Sign out of all devices.

How do I contact Tenzap?

Privacy & data

Who can see my information?

Only the landlord and tenants on the same tenancy see its shared records. Tenzap doesn't sell your data.

Does Tenzap use AI?

Only in the certificate scanner. When you scan a certificate, AI works out which certificate it is and reads its expiry date. You always check the result before it's saved. Nothing else in Tenzap uses AI. The Privacy Policy explains more.

Can I download my data?

Yes. Account > Privacy & data > Download my data gives you a readable PDF and a data file.

How do I delete my account?

Account > Privacy & data > Delete account. The screen explains what's deleted and what stays. Landlords need to cancel their subscription first.

What happens to shared records if a tenant deletes their account?

Their profile is deleted. Repairs, messages, documents and rent they shared stay with the landlord, shown as "Former tenant".

What happens to tenants if a landlord deletes their account?

Tenants are told and have 14 days to download their data before the property's records are deleted.
